Main Purpose of the Job

 

To manage and coordinate the Employee Share Scheme (ESS) within AECI globally. This includes tasks such as communicating with employees, coordination of Board activities and stakeholders.  The role will include the monitoring and support of the implementation of the ESS to ensure consistent practice across the business, whilst liaising with internal and external stakeholders.

 

This role will also be responsible for managing a wide range of administrative responsibilities for the HCGS team to ensure the team’s time and priorities are optimised and to manage special projects related to the effectiveness of human capital operations and systems, ensuring adherence to schedules and budgets to secure alignment with the human capital strategy.

 

Role and Responsibilities:

 

Plan Administration

 

  • Oversee day-to-day operations of the ESS, including allocations, distributions, and vesting schedules.
  • Maintain accurate participant records and ensure timely updates.

 

Compliance & Reporting

 

  • Ensure Support the development and delivery of educational materials to help employees understand ESS benefits.
  • Conduct workshops, presentations, and one-on-one sessions to explain plan details.
  • Serve as the point of contact for employee inquiries about ESS detail.
  • Provide clear and concise information to employees regarding the share schemes.
  • Respond to employee inquiries and address concerns promptly and effectively.
  • Travel to sites to meet with stakeholders.
  • Manage external Vendors that support the ESS.   

 

Data Management

 

  • Maintain ESS databases and software systems.
  • Generate reports for management on participation, allocations, and financial impact.

 

HCGS Project Management

 

  • Responsible to manage and support strategic Global Human Capital Services projects and initiatives that enhance AECI’s human capital priorities.
  • Lead and manage special projects related to the optimisation of human capital operations and systems, ensuring adherence to schedules and budgets. Monitor progress through regular status updates, milestone reviews, and performance metrics.
  • Develop comprehensive project plans that outline objectives, deliverables, timelines, and resource requirements. Ensure alignment with human capital strategy, organisational goals and strategic priorities.
  • Maintain accurate and up-to-date project documentation, including project charters, plans, status reports, and post-project evaluations.

 

HCGS Administrative Support

 

  • Managing a wide range of responsibilities to ensure the team’s time and priorities are optimized.
  • Coordinating complex schedules, arranging meetings and travel, preparing reports and presentations, and handling confidential correspondence with discretion.
  • Anticipating the needs, streamlining communication between departments, and serving as a reliable point of contact for both internal staff and external stakeholders.
  • Maintaining organization, accuracy, and professionalism, administrative support enabling the team focus on strategic decision-making and leadership while ensuring day-to-day operations run smoothly.

 

Qualification and Experience

 

  • Matric
  • Degree or Diploma in Human Resources or Administration or related field
  • 5+ years of experience in benefits administration / human capital or a related field
  • Strong knowledge of employee benefits and/or share schemes
